Our client in Houston, TX has an immediate need for a Sales Assistant on a Direct Hire basis.
Hours are 8-5 M-F
Sales Assistant Role:
The Sales Assistant will focus on providing customers with the best service, starting from receiving a purchase order until customers’ goods acceptance with all the necessary documentation (e.g. certificates of quality etc.) and resolution of any disputes and issues. This person will also provide administratice support to CEO. This position involves customer invoicing and customers’ accounts maintenance including issuance of credit memos. Must have strong problem solving and analytical skills, outstanding communication, negotiation, and interpersonal skills with ability to handle multiple projects and prioritize everyday tasks.
Creating Sales orders according to customers’ Purchase Orders
Invoicing according to shipping documents or Bill of Lading
Providing all necessary documentation and quality certificates to clients
Confirming product availability according to available inventory
Providing customers with production status updates
Coordinating with Logistics team all shortages and overages
Coordinating and researching information on all damages, repairs and re-stenciling issues with Quality and Inventory teams
Coordinating any documents revisions with back office teams
Requesting clarification from the Quality Team about chemical or mechanical compositions and industry standards.
Managing CEO schedule: booking transportation, hotels, meetings etc.
Managing CEO expenses: creating expense reports, submitting expenses for approval and payment in Concur
Sales Assistant Background Profile:
High school diploma is required and college diploma preferred
Strong problem solving and analytical skills
Outstanding communication, negotiation, and interpersonal skills with ability to handle multiple projects and prioritize everyday tasks
Persuasive and goal-oriented
Possesses an energetic, outgoing, and friendly demeanor
Self-motivated and self-directed
Able to multitask, prioritize, and manage time efficiently
Knowledge of sales process from initiation to close
Minimum of 3 years inside sales experience, related sales experience and adminstrative assistant experience required
Strong computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, Excel, Access), Peachtree (Sage) accounting and CRM/Salesforce experience preferred
Concur experience preferred
Experience managing personal and financial information preferred
