Part Time Administrative Assistant
Our client located in Scottsdale, AZ has a need for an Administrative Assistant on a contract to possible hire basis.
Part Time Administrative Assistant Role:
The Administrative Assistant will provide daily administrative and operational support to the team.
Provide high quality service to the team to meet and/or exceed client expectations and company standards.
Ensure all incoming client calls, e-mails, communications, faxes and inquiries are responded to in a quick, efficient manner.
Manage all incoming communication in a timely manner and delegate remaining communication as needed.
Resolve problems with quick, effective responses and to resolve client issues promptly.
Escalate problems and/or client issues as well as bring to the attention of the manager as required.
Distribute all incoming internal and external correspondence.
Draft, Review and distribute all outbound correspondence using Word and Outlook.
Manage day-to-day operations of the team such as opening Accounts and follow up
Daily activity reports and commission reports
Adherence to policies and procedures as well as monitor activities to ensure accuracy.
Provide excellent communication with clients using a contact management system.
Prepare the Advisors for all client meetings and reviews by providing necessary documents and make them aware of relevant account information.
Assist in delivery of all customer service deliverables including, but not limited to: call rotations, birthday cards, holiday acknowledgments, newsletters, client events, etc.
Order and maintain office supplies when needed.
Responsible for proper operation and maintenance of office equipment.
Resolve technical issues for the team by calling necessary vendors or technical support staff when needed.
Maintain a high standard of compliance in all aspects of the business.
Ensure all supporting documentation for new accounts and other industry documentation is accurate and complete.
Administrative Assistant Background Profile:
High School Diploma or Equivalent
At least 2+ years previous experience providing administrative support
At least 2+ years of financial services experience preferred
Advanced computer skills including Microsoft Office Suite
Must be an enthusiastic, motivated and committed team player
Excellent verbal and written communication skills
Excellent organizational skills with the ability to multi-task
Must be a problem solver, solution finder with the ability to work well in a dynamic, fast-paced environment.
