Responsibilities of the Legal Operations Specialist:
- Legal File Management:
- Ensure proper organization and maintenance of legal files with accurate documentation
- Maintain up-to-date records of legal case progress and deadlines
- Ensure compliance with internal procedures and legal regulations
- Collection Case Management:
- Supervise a high volume of collection cases, ensuring timely follow-up actions
- Collaborate with legal teams, agencies, and vendors for effective collections
- Analyze collection case trends and provide process improvement recommendations
- Administrative Operations:
- Support legal and contract management teams through administrative tasks
- Assist in contract preparation and review
- Handle internal and external correspondence related to legal matters
- Compliance & Documentation:
- Ensure adherence to company policies, legal regulations, and industry standards
- Review documentation for accuracy and compliance with contractual obligations
- Reporting & Analysis:
- Prepare reports on legal files and collection cases, identifying trends and progress
- Collaborate with senior management on strategies for improved outcomes
- Team Leadership and Collaboration:
- Lead and supervise legal and administrative professionals
- Collaborate with cross-functional teams to resolve issues
- Provide guidance and mentorship to junior staff
- Process Improvement:
- Identify areas for improvement and recommend streamlined processes
- Stay informed about industry best practices and legal trends
Qualifications for the Legal Operations Specialist Role:
- Bachelor's degree in Business Administration, Legal Studies, or related field preferred
- Experience in operations management, legal file management, or related tasks
- Demonstrated leadership and team management skills
- Strong organizational and time management abilities
- Excellent communication skills
- Proficiency in MS Office Suite and legal case management software
