Legal Office Administrator Role:
As a Legal Office Administrator, you will be responsible for supporting the firm's legal team with various administrative duties, including managing case files, client communication, and document preparation. A key aspect of this role will involve using Clio to handle case management, billing, and client communication. Additionally, the role will require occasional mail pickup and handling, ensuring that all materials are processed efficiently.
Manage and update client profiles, matters, and case files in Clio.
Input time entries, track billable hours, and assist in generating invoices for clients using Clio
Generate financial and case reports to support the legal team with client and case tracking.
Provide troubleshooting support for Clio-related issues and assist in maintaining accurate data.
Serve as a point of contact for clients, handling inquiries, scheduling appointments, and ensuring a high level of customer service.
Draft and send client correspondence, such as engagement letters, case updates, and other legal documents.
Maintain a professional and responsive relationship with clients, ensuring their needs are met.
Organize and manage both physical and digital files, ensuring all documents are properly stored and accessible.
Prepare legal documents, including pleadings, discovery responses, and other correspondence, ensuring compliance with firm standards.
Support the legal team by managing deadlines and ensuring that all documents are filed in a timely manner.
Assist with tracking billable hours, generating invoices, and supporting the billing cycle.
Provide general administrative assistance to attorneys and other team members as needed.
Maintain confidentiality and professionalism when handling sensitive legal information.
Assist with legal research, scheduling, and other office-related tasks as required.
Regularly pick up and manage incoming mail, ensuring timely distribution of documents to the appropriate team members.
Ensure the delivery of outgoing legal documents and correspondence as required.
Legal Office Administrator Background Profile:
Proven experience in a legal administrative role, preferably in a law firm environment.
Strong proficiency in Clio or similar legal practice management software (experience with case management, billing, and document management).
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with legal terminology and processes is a must.
Exceptional organizational skills with the ability to multitask and meet deadlines.
High school diploma or equivalent; Associate’s or Bachelor’s degree in a related field is preferred.
Legal Administrative Assistant certification or paralegal certification is a plus, but not required.
Strong written and verbal communication skills.
Ability to work independently, as well as collaboratively within a team.
High level of professionalism, discretion, and attention to detail.
Ability to prioritize tasks and manage time effectively.
