Document Specialist Role
Efficiently scan and digitize all incoming and outgoing legal documents, including correspondence, pleadings, discovery materials, medical records, and settlement agreements
Ensure high-quality scanning of documents, maintaining legibility and accuracy
Organize and maintain a comprehensive electronic filing system for easy retrieval of documents, ensuring all files are correctly indexed and accessible to legal staff
Implement and follow firm-specific naming conventions and storage protocols
Verify the accuracy and completeness of scanned documents, conducting regular checks to ensure no information is lost or misfiled
Address any discrepancies or errors in scanned documents promptly
Work closely with attorneys, paralegals, and other legal staff to prioritize scanning needs based on case urgency and workflow
Provide timely updates on the status of document digitization projects
Ensure compliance with legal and regulatory requirements related to document management
Maintain strict confidentiality and security of all scanned materials, protecting sensitive client information in accordance with firm policies and legal standards
Perform regular maintenance and troubleshooting of scanning equipment to ensure optimal performance and minimize downtime
Provide support for other administrative tasks as needed, including answering phones, managing mail, and assisting with office organization
Contribute to a positive and efficient office environment by supporting team members and participating in firm-wide initiatives
Document Specialist Background
1+ years of professional office experience
Technical aptitude for troubleshooting scanning equipment and software
Strong organizational skills and attention to detail
Excellent communication and interpersonal skills
Ability to manage multiple tasks and prioritize effectively
Ability to handle sensitive information with confidentiality and professionalism
