Client Relations Assistant
Our client, located in The Woodlands, TX, is looking to hire a Client Relations Assistant for their financial planning team. This is a Direct Hire opportunity.
This is an opportunity to join a well-established financial advisory firm that has been in business over 30 years. This team is extremely service driven and work with top-tier individuals. The environment is professional, fast-paced, hands-on, and no detail is too small or unimportant.
The Office Administrator is a critical role within the office. Initially, the primary responsibility will involve a concentrated effort in scheduling and calendar management. The industry requires a certain level of contact with clients and the Office Administrator will take on the duty of calling and emailing clients to maintain those requirements. In addition, you will join the administrative team to support multiple Financial Advisors. Daily duties would include
Professionally answer the office phones as the first line of client communication
Place weekly phone calls to schedule office appointments and take calls related to scheduling changes
Place daily confirmation calls for the scheduled appointments
Complete all office filing and scanning weekly
Shared responsibility of preparing the client files for all advisor meetings
Edit after meeting documents such as clients’ financial statements and profiles
Oversee the office mail by mailing client’ s documents and logging our incoming mail
Submit documents to Home Office
Complete forms for clients
Coordinate our monthly dinner events with select groups of clients
Mail out birthday cards for our clients
Place orders for office supplies and postage
Support the office in client service tasks and general office management tasks
Post updates to our social media platforms and update and maintain our online presence
Mail client’ s gifts for significant life events such as anniversaries and new babies
Provide exceptional client service
Perform duties in Microsoft programs – specifically MS Excel and MS Word
Maintain the office kitchen – empty the dishwasher, refill the coffee carousel, etc.
Be able to adapt and work in a fast-paced environment
The Office Administrator is allowed quite a bit of autonomy and requires a person who is self-driven, motivated to learn and do more, who maintains the highest level of integrity, and is adept at multitasking. If you thrive in a support position and look for opportunities to provide “ wow” moments for clients, this is a great position for you.
High school diploma is required, some college experience is a plus
3+ years of experience in a similar role
Expertise in organizational skills and follow-through
Exceptional communication and professionalism is required
Working knowledge of MS Suite; specifically, MS Excel – intermediate formulas, data entry, creating charts & tables and the ability to build spreadsheets from scratch when needed
Comfortable working in a fast paced environment, frequent outbound phone calls, and scheduling appointments with clients
