Commercial Operations Administrator
Our client, a leader in commercial seafaring transportation with a global presence and a focus on eco-efficient energy solutions, is currently seeking a meticulous and proactive Commercial Operations Administrator to join their team in Houston, TX. This is a direct-hire position.
Responsibilities:
- Coordinate documentation, manage records, and provide essential administrative support to the Commercial Operations group
- Act as a central point of contact for internal teams and external partners, ensuring accurate and timely communication
- Organize business travel arrangements and process expense submissions
- Schedule meetings, conferences, and team events
- Maintain customer and vendor information in internal systems
- Prepare reports and presentations by compiling data from various sources
- Handle purchase orders, track vendor invoices, and assist with account reconciliation
- Facilitate coordination between operations, finance, and management teams
- Maintain records, certifications, and compliance documentation
- Support safety initiatives by organizing activities and recording meeting minutes
- Assist with audits by ensuring proper documentation maintenance
- Provide general administrative support and assist with special projects as needed
Requirements:
- High school diploma or equivalent
- Minimum of 4 years' experience in an administrative or team support role
- Proficiency in booking international travel and processing expense reports
- Strong organizational and time management skills
- Advanced knowledge of Microsoft Word, Excel, and PowerPoint
- Excellent attention to detail and ability to handle multiple tasks simultaneously
- Outstanding written and verbal communication skills
- Ability to work independently while collaborating effectively with a team
- Dedicated, resourceful, and committed to maintaining accuracy
