Administrative Assistant Role:
The Administrative Assistant to provide comprehensive support to a team of attorneys. This position focuses on managing schedules, providing general office assistance, handling administrative tasks, and ensuring smooth day-to-day operations. The ideal candidate will be tech-savvy, adaptable, and able to manage a wide range of tasks.
Provide general administrative assistance to attorneys, including managing their calendars, scheduling meetings, preparing documents, and handling correspondence.
Organize, file, and maintain both electronic and paper documents, ensuring they are easy to access and up-to-date.
Schedule meetings and conference calls, prepare agendas, take meeting minutes when required, and ensure all necessary materials are ready.
Assist with occasional travel arrangements for attorneys, such as booking flights and accommodations, and preparing itineraries as needed.
Serve as the main point of contact for internal and external stakeholders.
Handle inquiries, phone calls, and emails promptly and professionally.
Help attorneys manage and submit expense reports, track receipts, and ensure proper documentation for reimbursement.
Utilize various software tools (e.g., Google Suite, Microsoft Office, and project management tools) to streamline administrative tasks, enhance efficiency, and support the team’s productivity.
Help with day-to-day office tasks such as managing office supplies, coordinating office equipment maintenance, and ensuring a clean and organized workspace.
Occasionally communicate with external vendors and service providers to arrange office supplies, equipment, or services, ensuring the office runs smoothly.
Administrative Assistant Background Profile:
Minimum 3-5 years of administrative experience in a fast-paced office environment, supporting multiple professionals.
Tennessee notary public
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Suite, and general office management software with the ability to learn and adapt to new technologies quickly.
Strong organizational abilities and attention to detail.
Excellent written and verbal communication skills.
Comfortable interacting with people at all levels and managing various administrative responsibilities.
Ability to maintain confidentiality, manage sensitive information, and approach tasks with discretion and professionalism.
Flexible and open to supporting attorneys in a variety of administrative capacities, including managing changes in schedules or tasks at short notice.
Familiarity with expense tracking or budget management preferred
