Administrative Assistant Role:
The Administrative Assistant will report to the Senior Executive Assistant and help provide support to employees at the corporate office.
Responsible for providing administrative functions, including a variety of administrative, clerical, and executive tasks.
Answer phone calls in a professional manner, screening, taking messages, and directing calls to the appropriate parties
Assist and support senior management to ensure that the office functions smoothly
Welcome and direct visitors and/or clients. Serve beverages (as needed) and notify Company personnel of visitor arrival
Manage SAP Concur purchase requests, invoice submission, and payment process for vendor invoices and the Company credit card
Respond to and resolve administrative inquiries and questions
Support employee engagement functions and events, including welcome, farewell, year-end parties, team building events, and volunteer activities
Create, write, and/or proof employee communication e-mails and memo’s as requested by other departments
Coordinate scheduling meetings, events, and make appointments for senior management when requested
Coordinate and schedule travel and reservations for senior management and other members as requested
Read and route incoming mail, faxes, packages, etc.
Maintain office supplies ensuring adequate inventory and ordering for in office and remote working employees as needed.
Vendor relations including sourcing potential vendors, communications, contract negotiations, and vendors terms
Maintain Company filing and organization systems
Organize conference rooms and the pantry area
Coordinate fire drills, emergency preparedness procedures, and other activities with building management
Maintain parking access and building access cards with the building and parking management companies
Assist with office services and coordinating office operations while maintaining a safe work environment
Coordinate maintenance of office related equipment (as needed)
Administrative Assistant Background Profile:
Associate’s degree or equivalent Business Administration training
2+ years of administration experience in an office setting
Ability to write, read, analyze and interpret general business documents, forms, and instructions in English
Proficiency is required in MS Office Suite (Outlook, Word, Excel and Power Point)
Analytical, organizational, and reporting skills
Ability to design custom reports as necessary
Deliver a high-level customer service
Effectively deliver presentations to managers, staff, and clients in English
Time management skills paired with attention to detail and the ability to multi-task in a deadline-oriented environment
Ability to communicate with coworkers effectively and efficiently throughout the organization
Ability to create interpersonal rapport and a desire to perform business promptly and courteously
Must be tactful, sensitive to intercultural relationships, flexible and able to successfully respond to multiple work requests
Experience working in multi-cultural office environment preferred
Valid drivers license with a reliable transportation
