Successful company providing the service of medication management to their clients in Assisted Living and Memory Care facilities.
Payroll and Benefits Specialist Role:
Facilitating New Employee Onboarding: Distributing handbooks, managing forms, explaining benefits, outlining responsibilities, ensuring HIPAA compliance.Â
Overseeing Yearly Personnel Reports: Managing EEO and related reports.Â
Supervising Paid Time Off (PTO) and Payroll: Handling PTO for all staff, conducting monthly payroll check reconciliations, and executing electronic 401K transfers.Â
Coordinating Cross-Functional Efforts: Collaborating on joint initiatives for recruitment and organizational enhancement.Â
Supporting Recruitment Process: Assisting managers in recruitment and interviews as needed.Â
Managing Health Insurance and Benefits: Administering health insurance plans, including COBRA, and processing insurance, 401K, FSA, and HSA matters.Â
Ensuring Financial Reconciliation: Preparing accurate monthly, quarterly, and annual account reconciliations, collaborating with the accounting team.Â
Ensuring ACA Compliance: Working with TPA to meet ACA reporting standards.Â
Maintaining Accurate Records: Updating schedules monthly, generating reports for headcount, FSA, HSA, 401K, and payroll.Â
Data Entry and Payroll Processing: Managing wage and deduction information, entering data into the ADP system, and processing bi-weekly payroll within ADP.
Employee Benefits Consultation: Meeting with employees to discuss benefits, sick leave, and vacation accruals.Â
Ensuring Deduction Accuracy: Auditing deductions for compliance with section 125 and ACA reporting.Â
Recording and Adjusting Payroll Changes: Managing payroll adjustments, benefit deductions, and corrections.Â
Providing Employee Assistance: Counseling employees on programs such as STDI, FMLA, etc.Â
Maintaining Compliance Records: Keeping track of FMLA, garnishments, child support, worker's comp, unemployment, and 401K reporting and files.Â
Administrative Support: Assisting senior staff and supervisors with administrative tasks.Â
Coordinating Audits: Participating in internal and external audits as needed.Â
Enforcing Policy Compliance: Administering policies and regulations to ensure accurate input and calculations according to corporate and governmental requirements.Â
Enhancing Employee Programs: Supporting retention and recruitment initiatives, along with employee rewards programs.
Payroll and Benefits Specialist Background Profile:
High School Diploma or the equivalent
College degree preferred
3+ years of Payroll and Benefit administration experience including but not limited to payroll taxes, W-2, year-end processing, legal and benefit guidelines.
Human Resources certification (SHRM, PHR) or Continuing Education a plus
Previous experience with Payroll software/ADP experience is a plus but not required
MS Office Suite – Word, Outlook, and Excel for reporting
Working knowledge of FLSA and Federal, State and Local tax regulations.
Performs at a high level of accuracy and efficiency, is well organized and demonstrates ownership and initiative.
Ability to maintain discretion with confidential information.
Strong organizational, prioritization and time management skills
Solid follow up, documentation and recordkeeping practices
Sharp critical thinking, problem-solving skills, and ability to use good judgement.
Professional – sets example of appropriate conduct, image, etc.
Drives positive culture and remains approachable when assisting employees.
Supports business heads and management team with a sense of urgency
Excellent verbal and written communication skills, comfortable presenting information and conducting one-on-one meetings.
Self-starter/disciplined, ability to work with little or no direction.
