Project Administrative Assistant – Construction
Our client, located in Humble, TX, is in need of a Project Administrative Assistant for a large construction project. This is a Contract to Possible Hire role, and they are looking for someone who wants to grow long term.
Full service engineering and construction firm that provides solutions for water, environmental, transportation, energy and facilities.

This role will be working in a construction trailer on a very large project. As the project grows, this person would have the ability to supervise others and help grow a team if they are able to succeed in their role.
Schedule meetings and plan company functions. Will record meeting minutes. **key item for this team**
Maintain project location in an organized manner.
Support Construction Services which includes; collection of project information (maintain tracking logs, correspondence, deliverables, and action item tracking) **key item for this team**
Provide Support to Projects using Excel, Word and other project controls tools
With limited instruction, prepare reports, compile data, and create spreadsheets comparing and analyzing data of a somewhat complex nature
Prepare correspondence for supervisor’ s review and signature, drafting letters and memos of routine or non-routine nature
Project file set-up, electronic and hard copy, maintain and archive at completion;
May act as coordinator with clients, field personnel, and vendors
Assist with pre-qualification and bid preparation and coordination of bond insurance and bid submittal
Process incoming mail; distribute and/or handle items not requiring supervisor’ s attention
Make travel arrangements including air travel, hotel and car reservations
Maintain office supplies and equipment maintenance
Perform general human resource duties including provide direction for answers to benefit questions; inform human resource department of changes in employee status; track and process vacation requests.
Administer new hire process: schedule pre-employment substance screens and physicals; process required paperwork, reviewing for completeness and accuracy, setup and provide guidance for first day/orientation.
Time card administration as required
10+ years of construction administrative support experience
Advanced computer skills including MS Office Suite
Previous experience with Document Control software, such as ProjectWise or Aconex would be ideal for this role
Must have an adaptive personality. This person will be meeting with company management and high profile clients, along with construction workers
Strong verbal and written communication skills
Ability to present, organize and convey problems/issues to group or team
Able to produce high quality work under deadlines
Ability to manage multiple assignments with competing priorities
