Executive Assistant Role:
The Executive Assistant will be responsible for handling a wide range of administrative tasks and supporting one of the executives of the company, while working independently with little or no supervision.
Responsible for maintaining a very busy calendar, coordinating a variety of events and meetings with reminders and appropriate follow up.
Responsible to always have ready and provide all needed materials and documents for meetings and scheduled events.
Schedule and coordinate personal dinners, travel, and events.
Schedule and coordinate any charity events and obligations the company is involved in.
Responsible for answering phones and routing to the appropriate party.
Communicate and handle all incoming and outgoing electronic communications.
Responsible for prioritizing and managing multiple projects at the same time.
Handle all follow through in a timely manner.
Oversee personal bills and credit cards
Sort, prioritize and distribute mail while also organizing, prioritizing and archiving the information.
Handle all sensitive and confidential situations with maturity, tact, and diplomacy.
Demonstrate a high level of interpersonal skills and independently establish priorities and meet deadlines.
Consistently complete tasks and demands while juggling multiple projects at the same time.
Responsible to assist with other tasks in the company as assigned.
Executive Assistant Background Profile:
The Executive Assistant will have a minimum of 1 year of experience supporting at the executive level.
Bachelor’ s degree
The ideal candidate will be extremely professional, with the desire to work in an environment which is fast paced at times, and slower paced other times. The ideal candidate will work well under pressure and remain calm, have the ability to be flexible, proactive, resourceful, efficient, and have a high degree of confidentiality.
Strong calendaring experience – extensive experience managing a constantly changing calendar.
Virtual support experience
Strong knowledge of MS Office – Word, Excel, and Outlook
Strong experience scheduling travel arrangements
Excellent verbal and written communication skills as well as organizational skills
Strong decision-making ability and attention to detail skills
