Administrative Assistant Role:

The Administrative Assistant will provide friendly service to and maintain positive relationships with all internal and external customers.

Secretarial and administrative duties including:

Operation of a multi-line telephone with courtesy and sufficient speed

Answer calls, take messages, and transfer calls as necessary, providing assistance to callers as well as screen calls and place calls for management

Ability to operate standard office equipment including copy machine, fax machine, etc.

Open, sort and screen incoming mail

Maintain department personnel files and paperwork

Organize and maintain payroll file room and coordination of timey rotation of files to off-site storage facility

Responsible for the payroll records for the department

Order supplies using established vendors and ordering methods

Compose, type and edit correspondence

Compile data and prepare special reports; gather and summarize data

Make arrangements for meetings and luncheons

Maintain appointment calendars for management and make travel accommodations for management and staff

Handle calendar management including meeting times, securing locations and inviting attendees

Prepare confidential paperwork regarding performance appraisals, promotions and other people-related issues for management

Maintain invoice and budget files and assist in the compilation of various reports

Administrative Assistant Background Profile:

The Administrative Assistant will have a High School diploma or equivalent

Must be able to work 6 am – 3 pm with Wednesday and Thursday off

Previous Administrative experience required

Strong experience with MS Office Suite including Word, Excel, Outlook and PowerPoint

Experience with Quick-base and Access

Excellent organizational skills

Ability to perform basic math skills

Ability to work in a fast-paced environment and under tight time constraints

Excellent verbal and written communication skills

Must have the ability to keyboard with sufficient speed and accuracy to meet the demands of the job

Ability to read documents, follow instructions, learn and understand office procedures

Ability to learn and use SWEEP for ordering department supplies

Must be able to work with confidential information and maintain confidentiality

Must be a US citizen or have authorization to work in the US
